Fleet Bidding Copilot

Problem
Automotive suppliers face a significant challenge in managing the complex and time-consuming process of bidding for contracts. The current landscape is fragmented and manual, leading to missed opportunities and inefficiencies.
- Difficulty in managing bid sources: Bids are scattered across numerous platforms and formats, from government portals like GovSpend to static PDFs and emails, making it difficult to track all relevant opportunities.
- Manual evaluation process: Evaluating each bid is a labor-intensive task. It requires personnel to manually sift through documents to determine if a bid is a good fit, a process that is slow, prone to errors, and difficult to scale.
- Inaccurate and slow responses: Crafting a competitive and accurate bid requires real-time information about inventory, pricing, and capabilities. The manual process of gathering this information often leads to delays and inaccuracies in the final bid submission, risking the loss of the contract.
What it does
This prebuilt solution transforms the fragmented and manual bidding process into an intelligent, automated workflow. It ingests bids from various sources, scores them for potential value, and generates ready-to-use proposals. The system can:
- Automatically find and categorize bids from sources like GovSpend, classifying them as fleet, service, or parts opportunities.
- Score each bid on a scale of 0.0 to 1.0, allowing your team to prioritize the most promising opportunities.
- Generate detailed bid proposals with accurate pricing and specifications that can be downloaded as Word or PDF documents.
How it works (Powered by SeekrFlow™)
This solution uses SeekrFlow’s modular agent architecture:
Bid Scoring Agent: This is the core of the evaluation process. It uses a Large Language Model (LLM) to analyze the details of each bid, including the title, description, vehicle type, make, estimated value, quantity, and location. It then generates a score based on a weighted set of factors:
- Priority Makes: Bids for makes like Ford, Chevrolet, and GMC are given a higher score.
- Bid Value: Higher-value bids receive a higher score.
- Quantity: Larger orders are prioritized with a higher score.
Bid Creation Agent: Once a bid has been identified as a high-priority opportunity, this agent generates a detailed proposal. It pulls in relevant data, including pricing, specifications, and inventory levels, to create a comprehensive and accurate bid package.
Categorization and Base Agents: These agents handle the initial processing of bids, classifying them and preparing them for scoring and proposal generation.
The entire process is powered by the Kinley-API, a Python-based API that handles the data processing, and the kinley-web application, an Angular-based front-end that provides the user interface.
